A PRACTICAL FREELANCE WORKFLOW

What to say when a client asks for extra work.

A request can be reasonable and still change the price. Before you start, make the decision clear for both of you.

First, check what was agreed.

Compare the request with the original deliverables and revision allowance. Correcting your own mistake may already be included. If the request is ambiguous, ask for an example before quoting it.

Then, describe the difference.

“Our original scope covers five pages. This request adds a separate FAQ page using your final copy.” A concrete description is easier to discuss than a label such as scope creep.

Give the client a choice.

Hi Alex,

I can add the FAQ page. The additional fee is $240, and it adds two working days after approval and receipt of the final copy.

Please confirm the added scope, fee and timing before I start. We can also keep the original five-page scope if you prefer.

Thanks!

Keep the reply.

Save the client's written approval with the project. Update the timeline and any invoice separately. A status marked approved in your own notes is not proof that the client agreed.
